Job Overview

The Admin Coordinator shall support the Admin Manager with ensuring a high level of admin and operational support to the business.

 

Specific Duties/Responsibilities

  • Facility Management: Coordinate and support with tenancy agreements and various office and workshop maintenance related tasks including contracts fore fire protection, building maintenance etc.
  • Site accommodation : Arrange temporary and long term site accommodation for personnel where needed
  • Fleet management : Coordinate for the optimum allocation and maintenance of the company fleet of cars. Check and optimise fuel and maintenance costs
  • Office expenses : Support with the checking and management of various office expenses such as telephone, internet and utility bills
  • Office support : Keeping the office stocked with supplies (and snacks), coordinating with vendors, and ensuring the space is tidy and functional.
  • Travel expenses : Support with ticket , hotel reservations and visa arrangements
  • Schedule Coordination: Managing calendars, booking meeting rooms, and organizing travel arrangements or company events.
  • Documentation: Drafting correspondence, filing digital and physical records, and maintaining updated databases.
  • Data entry and record keeping:  Processing invoices, tracking office expenses, and assisting with light payroll tasks if needed.

 

Requirements

  • Bachelors degree in commerce or business
  • Strong planning and organising skills
  • Can collaborate effectively with cross functional teams .
  • Communication and influencing skills
  • Proactive and result oriented
  • Should be digitally astute working with the SAP environment
  • Customer centric. Handles the internal stakeholders in a professional manner and ensures high level of service
  • Flexible and adaptable
  • High attention to detail and commitment to process excellence.
  • Discretion and professionalism in handling confidential employee matters.
  • 4–6 years in an admin role in a hectic professional environment. Should have experience in Oman. Should have experience in an ERP environment
