Job Overview :
The Administrative Executive will be an integral member of the Gradiant Group Legal, Compliance and Commercial Team (“Group Legal Team”). The role will be primarily responsible for managing the administrative aspects of external vendor invoice processing, including coordination with vendors, Finance/Accounts Payable teams, and internal stakeholders to ensure timely and accurate payment processing.
In addition, the candidate will provide day-to-day administrative support to the Group Legal Team in India, including maintaining legal trackers and repositories, supporting corporate secretarial activities, assisting with documentation and records management, and managing routine team administrative tasks.
This role will be based in Chennai, India, and the candidate will directly report to and work with the Head – Legal, India and the Group Corporate Secretary. The candidate must be detail-oriented, organized, and able to work effectively with senior leadership and cross-functional teams.
Responsibilities :
Invoice Processing and Payment Coordination
- Take full ownership of incoming invoices from external counsel, international law firms, and corporate service providers - ensuring they are accurate, correctly coded, and submitted to Finance/Accounts Payable teams without delay.
- Launch Purchase Requisitions (PRs)/Purchase Orders (POs)/Service entry Sheet (SES) in the SAP, set up new vendors, and resolve billing discrepancies directly with external vendors and internal department.
- Act as the dedicated point of contact between the Group Legal Team and the Finance/AP teams to streamline the end-to-end payment workflow and quickly resolve any outstanding billing issues or discrepancies.
- Track and monitor invoice due dates closely to ensure timely corporate disbursements, avoiding service disruptions or late payment penalties from vendors.
- Coordinate internal departmental workflows, routing invoices and fee approvals to the relevant executives for sign-off before routing to AP.
Administrative Support
- Ensure proper organization, retrieval, and confidentiality of sensitive legal and business documents.
- Support Group Legal Team administrative activities, including assistance with preparation of legal and secretarial documents, execution, filing and/or submission and related coordination.
- Support the preparation of basic reports, presentations, summaries, and other administrative materials.
- Maintain trackers and repositories, including invoice trackers, expense trackers and other team records.
- Provide day-to-day administrative support to the Group Legal Team as and when required.
Requirements :
- Diploma/Bachelor’s degree from a reputed institution
- Familiar with the accounts payable lifecycle, corporate procurement processes, SAP generation, and billing systems.
- Interpersonal skills to effectively bridge the communication gap between legal professionals, corporate finance teams, and external vendors will be an advantage.
- Commercially aware and able to identify issues for escalation
- Adaptable, well organized, efficient and effective, results orientated, able to work independently and as part of a small team
- 2-5 years relevant experience
