Job Overview
This position is responsible for overseeing material management and administrative functions at project sites. The role ensures that all materials are received, stored, issued, and reconciled in compliance with client requirements and organizational procedures. It also includes maintaining accurate inventory records, facilitating coordination between accounts, stores, and project teams, and supporting site operations with material traceability and documentation.
Specific Duties/Responsibilities
- Material Entry Procedures: Implement and adhere to material entry procedures at project sites in line with client and project requirements.
- GRN/IR Formalities: Manage Goods Receipt Note (GRN) and Inspection Report (IR) processes to ensure proper documentation and compliance with company policies.
- Cross-Functional Coordination: Maintain effective interfaces with accounts, procurement, and stores departments to support smooth material management and reporting. Inform/Update of material receipt to other site engineers time to time.
- Material Receipt and Issue: Oversee daily material receipt, inspection, storage, and issuance to site teams, ensuring proper records are maintained.
- Inventory Management: Maintain stock registers and update inventory levels on a weekly/monthly basis for accuracy and traceability.
- Documentation and Reporting: Acknowledge material-related documents and forward them to the head office or project team on a regular basis for records and audit compliance.
- Gate Pass & Material Traceability: Manage gate pass formalities and assist site teams in ensuring material movement and traceability.
- Material Reconciliation: Conduct monthly material reconciliations, compare with usage records, and prepare reconciliation reports to ensure accountability.
- Administrative Support: Provide administrative support at site related to materials handling, documentation, and coordination with project stakeholders.
Qualification, Skills & Experience
- Bachelor’s degree or Diploma.
- Strong knowledge of stores and inventory management practices.
- Familiarity with GRN/IR processes and material documentation procedures.
- Ability to coordinate effectively with cross-functional teams including Civil, Electrical, and Instrumentation.
- Proficiency in record-keeping, documentation, and reporting.
- Strong organizational and problem-solving skills.
- Minimum of 10-15 years of experience in material management, stores management, or related functions within project or construction environments.
- Relevant certifications in material management, inventory control, or supply chain processes are preferred.
- This is a contract role based at site. Will be based either in Gujarat, Karnataka and Tamil Nadu.
