Position Summary


The Materials Coordinator supports the Materials Manager by coordinating and executing day-to-day material receiving and verification activities. The position is responsible for ensuring incoming materials and equipment are accurately received, inspected, documented, and verified against applicable purchase orders, bills of lading, packing lists, and project documentation.

The Materials Coordinator works closely with subcontractors, vendors, logistics providers, and project teams to identify delivery discrepancies, damaged or missing materials, documentation issues, and other material-related concerns. Issues are documented, communicated, and escalated to the Materials Manager to support timely resolution and prevent impacts to construction and project schedules.

 

Key Responsibilities

 

Receiving & Material Verification

  • Coordinate and support daily receiving activities for project materials, equipment, consumables, and spare parts.
  • Verify incoming deliveries against purchase orders, packing lists, bills of lading, BOMs, and other applicable project documentation.
  • Confirm quantities, part numbers, descriptions, equipment identification, and other required information at receipt.
  • Perform visual verification of received materials and equipment to identify apparent damage, incorrect items, shortages, overages, or other discrepancies.
  • Ensure receiving documentation is complete, accurate, and properly maintained.
  • Maintain accurate records of received materials and their status.

Delivery Discrepancies & Issue Identification

  • Identify shortages, overages, damaged materials, incorrect shipments, missing documentation, and other receiving discrepancies.
  • Document discrepancies with appropriate records, photographs, delivery documentation, and supporting information.
  • Work directly with subcontractors and appropriate project personnel to investigate and clarify delivery discrepancies.
  • Track identified receiving issues through resolution and maintain visibility of open items.
  • Escalate significant or unresolved material issues to the Materials Manager.
  • Proactively identify potential material concerns that could affect installation, construction sequencing, or project schedules.
  • Communicate material status and identified issues clearly to the Materials Manager and appropriate stakeholders.

Subcontractor & Delivery Coordination

  • Coordinate with subcontractors regarding scheduled deliveries, receiving requirements, documentation, and identified discrepancies.
  • Serve as a day-to-day point of contact for receiving-related questions and issues under the direction of the Materials Manager.
  • Coordinate with logistics providers and project personnel to support efficient unloading and receipt of materials.
  • Assist in resolving discrepancies between physical deliveries and subcontractor/vendor shipping documentation.
  • Ensure subcontractors and delivery personnel follow established project receiving processes.

Material Tracking & Documentation

  • Update material trackers, receiving logs, ERP/SAP records, and other project systems with accurate receiving information.
  • Maintain BOLs, packing slips, receiving reports, photographs, discrepancy records, and related documentation.
  • Track material from receipt through transfer to designated storage, staging, or project areas as required.
  • Assist with material reconciliation and verification activities.
  • Provide receiving and discrepancy information for reports prepared by the Materials Manager.
  • Maintain organized records to support project audits, turnover, and closeout requirements.

Project & Materials Management Support

  • Support the Materials Manager in maintaining visibility of material status across the project.
  • Communicate potential shortages, delivery concerns, documentation gaps, and other material risks as they are identified.
  • Coordinate with Construction, Procurement, Quality, Safety, and other project functions as necessary to resolve receiving-related issues.
  • Follow established materials-management, quality, and safety procedures.
  • Perform additional materials-management activities as directed by the Materials Manager.

 

Requirements

  • High school diploma or equivalent.
  • 1–2 years of experience in materials, receiving, logistics, warehouse, or construction preferred.
  • Ability to verify deliveries against POs, BOLs, packing lists, and project documentation.
  • Strong attention to detail and organizational skills.
  • Ability to identify, document, and communicate delivery discrepancies.
  • Proficient with Microsoft Excel, Outlook, and basic tracking systems.
  • Strong communication skills and ability to work with subcontractors, vendors, and project teams.
  • Ability to work in an active construction environment and lift up to 50 lbs.
