Job Summary
Ensure all orders and contracts are expedited by reviewing and monitoring vendors' schedule compliance and preparing status reports for timely action. You'll work in line with project specifications and the directives of the Procurement Manager and Project Manager, so that project schedules and contractual delivery requirements are met within budget and agreed timeframes.

 

Key Responsibilities

  • Assign expediting levels to Purchase Orders, after discussion with the Project and Procurement Managers, based on delivery schedule, criticality and current situation of each order
  • Organize and participate in Kick-Off Meetings (KOM)
  • Monitor expediting performance of vendors and third-party expediting companies, including physical observation when needed
  • Analyze potential delays and provide weekly status reports with proposed corrective measures
  • Ensure vendors' bills of materials (BOM) are released, sub-orders placed, and orders expedited and received in time to support vendors' manufacturing schedules
  • Issue weekly critical items reports summarizing the status of the orders most critical to project progress
  • Find solutions and initiate action to eliminate or minimize schedule delays
  • Escalate issues to the Project Manager and Procurement Manager so actions follow set standards
  • Follow vendors' material acquisition to help prevent shortages, and watch for signs of labour issues at vendors' plants
  • Check first issue of drawings, engineering documents and other non-material requirements needed for detailed engineering to proceed
  • Perform field expediting, issue area assignments and spot-check materials
  • Review area expediting reports for content, completeness and appropriateness, and ensure follow-up
  • Ensure all expediting data and relevant documents are entered into the tracker so information is current and available for planning
  • Coordinate with the Project QC Manager on Pre-Inspection Meetings (PIM) and inspection dates so vendor schedules aren't jeopardized
  • Coordinate material transportation with internal logistics per the agreed shipping terms, and monitor goods arrival at site or warehouse
  • Work with engineering and project teams to deliver projects on time and within budget
  • Participate in overall vendor performance evaluation
  • Independently handle routine, less complex tasks that support function and project objectives

 

Requirements

  • Bachelor's degree in Engineering, Business Administration or a related discipline, with at least general knowledge of construction principles and procedures
  • 8-10 years' experience as an expeditor in water or oil & gas. Manufacturing knowledge or background is recommended but not mandatory
  • Familiarity with project equipment and its usage, and experience across materials procurement
  • Ability to interpret and analyze fabrication programs and identify fabrication bottlenecks to improve performance
  • Experience with progress verification and reporting
  • Awareness of vendor quality surveillance and shipping procedures for water, oil & gas or chemical industry projects
